More Girls Outdoors Terms & Conditions

These Terms and Conditions (“Terms”) govern all bookings with More Girls Outdoors LLC (“we,” “our,” or “us”). By booking a trip, you (the “participant” or “traveler”) acknowledge that you have read, understand, and agree to be bound by these Terms, as well as any additional terms provided for specific trips or by our partners and vendors.

1. Booking and Payments

• A non-refundable deposit is required at the time of booking to reserve your spot.
• The remaining balance must be paid according to the payment schedule outlined on your invoice. Failure to pay on time may result in cancellation of your booking without a refund.
• Some trips may have additional payment requirements due to third-party vendor policies. These will be disclosed prior to booking.
• Timely payment is essential. Failure to make payments or installments by the specified due dates may result in forfeiture of your spot on the trip. In such cases, no refunds will be issued, and More Girls Outdoors LLC is not responsible for any additional costs or losses you may incur as a result of removal due to non-payment.

2. Travel Insurance

Travel insurance is mandatory for all participants. Proof of insurance is required prior to trip departure and must include:

• Emergency medical coverage
• Medical evacuation and repatriation
• Trip interruption or cancellation

We strongly recommend policies that also cover pandemics, government travel restrictions, “cancel for any reason” coverage, and pre-existing medical conditions.

All travel insurance recommendations and suggestions made by More Girls Outdoors LLC are advisory only. Participants are solely responsible for researching, selecting, and securing an insurance policy appropriate for their needs and trip activities. More Girls Outdoors LLC is not liable for any policy deficiencies, omissions, or lack of coverage.

3. Cancellations by You

• All deposits are non-refundable.
• Cancellations made more than 120 days before the trip start date may be eligible for a refund of any additional payments, minus the deposit and any non-recoverable third-party costs.
• Cancellations made within 120 days of the trip start date are non-refundable.
• Deposits may be transferred one time to another person not currently booked on the trip or to another future trip (subject to availability and a $100 rebooking fee). Deposit credits are valid for one year from the originally booked trip start date.
• No refunds are issued for any unused portion of the trip, including voluntary or involuntary departure.

4. Cancellations or Changes by More Girls Outdoors LLC

We reserve the right to cancel or modify a trip at any time due to safety concerns, weather, force majeure, low enrollment, or other unforeseen circumstances.

• If we cancel the trip before departure, you will receive a full refund of all monies paid, excluding non-refundable third-party expenses.
• If we must make changes to the itinerary before departure, we will inform you as soon as possible. Reasonable changes are not grounds for a refund.
• The trip leader may adjust the itinerary at any time during the trip based on weather, group safety, physical ability, technical skills, or other safety/security reasons. These changes are at the sole discretion of the leader and are not grounds for a refund.

5. Health and Medical Conditions

You must inform us of any medical or physical conditions, disabilities, or pregnancy that may affect your ability to participate safely. You confirm that you are physically and mentally capable of undertaking the trip activities.

• If the trip leader determines that your participation poses a risk to your own health, safety, or the well-being of the group, you may be asked to leave the trip. No refunds will be provided in this case.
• You are responsible for accurately completing any medical forms or disclosing conditions that could impact your participation.

6. Travel to Trip Start and Personal Belongings

• Participants must be legally adults (18 years or older) and are responsible for arranging travel to the designated trip start location unless otherwise specified.
• You are solely responsible for your personal belongings and gear throughout the trip. More Girls Outdoors LLC is not liable for lost, stolen, or damaged items.

7. Personal Conduct and Removal from Trip

You agree to respect trip leaders, fellow participants, local cultures, laws, and the natural environment. The trip leader or company representatives may remove any participant whose behavior is unsafe, disruptive, or violates the law.

We reserve the right to remove any participant from a trip due to:

• Failure to comply with safety guidelines or group norms
• Behavior that endangers themselves, others, or the overall experience

Such removal will be at your expense, and no refund will be provided. We are not responsible for any additional costs incurred.

8. Additional Trip-Specific Terms

Certain trips may have additional or more specific terms and conditions due to vendor or DMC requirements. These terms will be provided prior to booking or payment. By booking, you agree to comply with both More Girls Outdoors’ and the third party’s terms.

9. Itinerary and Optional Activities

• Our trips are outdoor-based and weather dependent. Adjustments may be made in real-time to reflect safety, group dynamics, or conditions. These are not grounds for refunds.
• The trip leader has the authority to alter the itinerary at any time due to weather, group physical or technical ability, and safety/security concerns. These changes are not considered major and are not grounds for refunds.
• Optional activities outside the scheduled itinerary are not included in your booking and are undertaken at your own risk. More Girls Outdoors LLC assumes no responsibility for these activities, even if recommended by a trip leader or fellow participant.

10. Packing, Advisory Info, and Responsibility

We provide suggested packing lists, general health and travel tips, and gear guidance. However, this information is advisory only and does not guarantee completeness or accuracy. You are responsible for verifying personal needs and requirements, including passport/visa status, vaccinations, fitness, and weather-related prep.

11. Assumption of Risk and Release of Liability

Adventure travel involves inherent risks, including but not limited to accidents, injuries, disability, death, altitude sickness, wildlife encounters, weather events, natural disasters, equipment failure, acts of God, criminal or terrorist activity, and limited access to medical care. By participating in any trip organized by More Girls Outdoors LLC, you acknowledge and agree to the following:

• You understand that adventure activities include, but are not limited to, hiking, camping, boating, wildlife encounters, horseback riding, exposure to extreme weather and terrain, altitude sickness, use of vehicles or aircraft, and other physically demanding and potentially hazardous activities.
• You acknowledge that conditions in the destinations may differ significantly from those at home, including but not limited to medical facilities, sanitation, infrastructure, political stability, and emergency response capabilities.
• You voluntarily assume full responsibility for all risks associated with participation, whether known or unknown, foreseeable or unforeseeable, including those arising from negligence, acts of God, equipment failure, acts of third parties, or any other causes.
• You expressly understand and agree that your participation may result in serious injury, permanent disability, illness, or death.
• You hereby waive, release, and discharge More Girls Outdoors LLC, its owners, officers, employees, trip leaders, agents, contractors, affiliates, and representatives (collectively, the “Releasees”) from any and all claims, liabilities, demands, damages, costs, or expenses, including attorney fees, arising out of or related to your participation in the trip, including claims arising from the negligence or fault of the Releasees to the fullest extent permitted by law.
• You agree not to sue and agree to indemnify and hold harmless the Releasees from any claims made by yourself or third parties related to your participation in the trip.
• You confirm that you have read, understand, and voluntarily agree to this assumption of risk and release, and that it is intended to be as broad and inclusive as permitted by applicable law.
• You affirm that you are physically and mentally capable of participating in the trip and have disclosed any medical or physical conditions that could affect your safe participation.

This Release and Assumption of Risk is binding upon you, your heirs, executors, administrators, assigns, and legal representatives.

You further acknowledge that:

• You are responsible for researching and understanding the risks associated with the activities involved;
• You are solely responsible for any decision to participate in or opt out of any portion of the trip;
• More Girls Outdoors LLC does not guarantee the elimination of risks and cannot be held responsible for your personal safety beyond what is reasonably expected of an adventure travel operator.

12. Standards of Adventure and Local Conditions

We operate in diverse locations and conditions. Accommodations, transportation, hygiene, and infrastructure may not match those found in your home country. Variations in standards are part of the experience. No refunds will be issued due to differences in expectations around comfort or service.

13. Force Majeure

We are not liable for failure to perform our obligations if such failure is caused by acts of God, natural disasters, pandemics, government restrictions, civil unrest, weather, transportation disruptions, or other events outside our reasonable control.

14. Liability for Personal Property

More Girls Outdoors LLC is not responsible for loss, theft, or damage of personal belongings at any time during the trip.

15. Complaints and Claims

If you experience any issues during the trip, notify your trip leader immediately to allow for timely resolution. We will make a good-faith effort to address concerns on the ground. Any formal complaints must be submitted in writing within 7 days of trip completion. While we welcome feedback, dissatisfaction with certain conditions or preferences does not entitle you to compensation or refunds.

16. Conditions of Carriage

Transportation during the trip may be provided by independent third-party carriers. Carriage is subject to each provider’s own terms and liability limitations. More Girls Outdoors LLC is not responsible for delays, changes, or losses incurred while in transit.

17. Independent Contractors, Social Hosts, and Third-Party Vendors

Social Hosts, trip leaders, and other individuals engaged by More Girls Outdoors LLC as independent contractors are not employees of the company. Their opinions, actions, advice, or conduct do not necessarily reflect the views, values, or policies of More Girls Outdoors LLC.

Similarly, third-party vendors or suppliers involved in delivering any part of your trip are independent entities and operate under their own terms and standards. More Girls Outdoors LLC does not accept responsibility or liability for any statements, recommendations, conduct, or performance by these contractors, Social Hosts, or third-party vendors.

Participants agree to hold More Girls Outdoors LLC harmless from any claims, damages, losses, or disputes arising out of or related to the actions or advice of Social Hosts, independent contractors, or third-party vendors.

18. Media Release

By participating in a More Girls Outdoors LLC trip, you grant us permission to use any photos, videos, or other media captured during the trip for promotional, commercial, or educational purposes without compensation. If you do not wish to be included, it is your responsibility to notify the trip leader in writing prior to the trip start date.

19. Fitness and Preparation Responsibility

It is your responsibility to ensure you are adequately prepared for the physical demands of the trip, including completing any recommended training or conditioning. We are not responsible for any consequences due to lack of fitness or preparation.

20. Alcohol and Substance Use

Consumption of alcohol and/or controlled substances during the trip must be done responsibly and in accordance with local laws. More Girls Outdoors LLC reserves the right to remove any participant for inappropriate use that endangers the group, violates local law, or disrupts the experience.

21. Dispute Resolution and Governing Law

These Terms are governed by the laws of the State of California. Any disputes shall be resolved through arbitration or mediation before pursuing court proceedings.

22. Updates to Terms and Conditions

More Girls Outdoors LLC reserves the right to revise, update, or modify these Terms and Conditions at any time without prior notice. The current version will always be available on our website and will govern your booking. It is your responsibility to review the Terms periodically. Continued participation in any trip after changes constitutes your acceptance of the revised Terms.

23. Seller of Travel Registration

More Girls Outdoors LLC is registered with the State of California as a Seller of Travel. Registration Number: CST# 2165244-50. Registration as a seller of travel does not constitute approval by the State of California.

California law requires certain sellers of travel to have a trust account or bond. More Girls Outdoors LLC is a participant in the Travel Consumer Restitution Corporation (TCRC).

All customer payments are protected as required by law.
